PDF import: messages and what they mean

The review step of the PDF import shows messages above the recognised values that say how a value came about. This page lists them in full — ordered from “everything checks out” to “this was inferred”.

Message Meaning
“Totals verified: line items, net, VAT and gross add up arithmetically.” the only good news in this series: the cross-check worked out
Message Meaning
“No invoice line items could be recognised — please add them manually.” no table found
“For individual line items the PDF contained no price — quantity and description were taken over, please add the amounts.” a partial hit in the table
“Line items could not be recognised individually — a single collective item was formed from the totals block. Please check.” a fallback: one row instead of many
“The recognised line items do not add up to the invoice amount — please check quantities and prices.” the cross-check failed
“The unit prices in the PDF were gross prices — they were converted to net prices. Please check.” a B2C layout
Message Meaning
“No invoice date recognised — please check.” —
“The tax rate was not stated in the invoice and was estimated from the seller’s country — please check.” inferred, not read
“The seller’s country was not stated in the invoice and was assumed — it determines the tax rate and the currency, please check.” also inferred, with knock-on effects
Message Meaning
“No text was recognised in the PDF. Please fill in the fields manually.” neither a text layer nor usable OCR
“Scanned pages detected, but text recognition (OCR) is currently unavailable — please fill in the fields manually.” OCR is not set up on this installation
“Only the first pages were processed by text recognition (page limit).” default: 10 pages per import
Message Meaning
“Payment and address details were taken from the Swiss QR code (IBAN, currency, reference, parties). Please check the invoice amount and the tax rate.” read by machine, not inferred — and therefore more dependable than anything else on this page

The same reading, but without any onward processing: /en/invoice-data-capture returns the recognised data as JSON with a confidence value per field (download rechnungsdaten.json), along with a preview and the statement “Totals verified” or “Please check the totals”.

The page is not account-restricted; the button “Check & output as e-invoice” leads into the same review as above.

It is intended as a preview of the API endpoint for invoice data capture, which belongs to the ERP integrations and is offered as an Enterprise capability — in the portal it remains fully usable for everyone.
